Include the date and time of the call, the name of the person you spoke with, a summary of what was discussed, any commitments made, and the next steps. Reference your claim number.
How long should I keep communication records?
Keep all warranty communication records for at least the warranty period plus the applicable statute of limitations (typically 4-6 years). Do not delete email threads even after the issue is resolved.
What if the manufacturer stops responding?
Document the date of your last communication and all follow-up attempts. Send a final written communication via certified mail. This creates a record of your effort to resolve the issue cooperatively.
Can I record phone calls with the manufacturer?
Recording laws vary by state. Some states require two-party consent. Consult an attorney before recording any calls. Written follow-up emails are a safer alternative.
